The International Rescue Committee has been working in Somalia since 2006, providing essential services to conflict and disaster affected communities. The IRC has been operational in Central Somalia (Mudug and Galgadud regions) and Mogadishu implementing interventions in the areas of livelihood, WASH, Governance and peacebuilding, GBV, Nutrition, education and health reaching out to more than 200,000 conflict and drought affected people.

SCOPE OF WORK

Under the direct supervision of the HR/Admin Officer, The Administrative – Intern provides the first positive image of IRC Dhusamareb Somalia Program office due to her/his patience, ability to listen and assist visitors. She/he acts as the central point of Office record checks and dispatch all messages.

SPECIFIC RESPONSIBILITIES

  • Receive & schedule the rooms for all visitors to the Guest House, respond to their requirements and fill the register of Guest house record book.
  • Preparing payments for administration costs.
  • Preparing Hotel and Local Travel payments and submit to the Finance.
  • Preparing forms additional insurance IDs for new staff joined & dependents.
  • Liaise with Security and Post the at the gate list of visitors coming to the office.
  • Ensure all visitors get the visitors card.
  • Keep orders of all stationeries and cleaning materials used in the office.
  • Prepare and print 6 documents for each staff when requesting visa, prepare visa request letter & sign from FC/ HR-Admin officer then submit to Kenya embassy/ Somali immigration.
  • Prepare gate bass any items going out with staff and coming visitors.
  • Checking the cleanness of the office and guest house every day.
  • Checking electricity, drinking water and kitchen work and cleanness of water tanks.
  • Ensure all supplies, TV and toilets are functioning well.
  • Preparing monthly office staff attendances.
  • Assist in booking air tickets and accommodation for the teams and other travel itinerary
  • Raise administrative purchase requests and submit to supply chain in a timely manner,
  • Monitor and track utilities for staff houses, guest house and office and prepare payments in a timely manner.
  • Do any other business directed by the supervisor.

REQUIRED QUALIFICATIONS

  • Certificate in office Management and Administration/Secretarial Course or related course.
  • Willingness to learn, adapt to team working environment.
  • Computer literacy- word, excel, internet.
  • Excellent spoken and written English skill.
