What will you do?

Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources;

Respond to queries and escalate where appropriate, in order to provide timely and accurate service to clients;

Manage external hall booking for WFP events, workshops, seminars, training, etc;

Support in the processing of guest house invoicing in the digital accommodation platform;

Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures;

Maintain staff members’ leave (annual, sick, maternity & paternity) records as well as compensatory time off, attendance and prepare to leave balances every month;

Ensure all essential HR documents are completed and submitted to the HR Country Office;

Prepare incoming and outgoing pouch and ensure that it is properly recorded;

Support UNHAS booking for staff members and cargo to various locations;

Monitor guest house food levels and prepare the food requests ;

Perform other related duties as required.

Minimum Qualifications:

Education: Completion of secondary school education.

Experience:

  •  At least three years of working experience in progressively responsible work experience in general administration work. A certified university degree in HR, Administration or other related functional area may be considered in lieu of the years of experience.
  •  Successfully completed 8-month internship programme with WFP Somalia.

Knowledge & Skills:

  •  Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  •  Knowledge of work routines and methods in order to complete processes under minimal supervision.
  •  Uses tact and courtesy to give and receive information to a wide range of individuals.
  •  Ability to identify data discrepancies and rectify problems requiring attention.
