JOB PURPOSE
Generally, s/he will support overall office and hospital activity in IMC field project level in terms of Finance, Human Resource and administrative matters of the office.

MAIN TASKS AND RESPONSIBILITIES
Assists in the development and maintenance of adequate systems to facilitate accurate recording and reporting of all financial data in accurate and timely manner.
Provides financial management support to the HR/Finance/Admin officer.
Assists in the development of monthly petty cash projection when necessary.
Supports field HR/Admin/finance officer in monthly petty funds clearance and subsequent replenishment request if needs be.
Processes accrual payments on regular basis.
Ensure all the staff Employee Receivables (ER) accounts are cleared for the cash advances issued to the staff on monthly basis.
Assist on both internal and external audit queries upon request.
Closely work with/assists the Admin/Finance officer in ensuring timely closing of books as well as submission of required reports including both financials and scanning reports as per International Medical Corps finance deadlines.
Maintains and update documentation on key business processes.
Create, send, and follow up on pending payments to concerned staff.
Answering employee questions in relation with work context.
Upholds orderly and comprehensive filling systems (both in paper and computerized forms)
Assists of field admin/finance officer of preparation, arrangement and sending original financial documents, contracts, receipts, timesheets to Mogadishu office on appropriate timeline in every month.
Collaborates with the Finance/HR Officer in implementation of all HR operation in the field site in order to make sure that the correct HR processes are followed and adhered to by all concerned persons.
Assist the field Admin/HR/Finance officer in the process of recruitments through advertisement, collection of candidate resumes, applications, scheduling job interviews, and assisting in interview process.
As guided by the HR Officer, prepare the orientation schedule for the new national staff in the site’s office.
Support the HR Officer in maintenance of annual leave tracking system for International Medical Corps’ field site national staff in the field.
Support the HR Officer in ensuring timesheets are completed.
Supports Field Admin/Finance officer in the entire cycle of HR activities whether of contracting new employees, old staff when contracts expire and monitoring the effectiveness of these processes and feedback to the HR officer.
Keeps custody of personal files for IMC field staff within respective office (contracts, CV, testimonials, and HR forms etc.).
Ensures staff personal files are maintained up to date and kept in locked cabinet to protect the private confidential information and maintain accuracy and integrity of data.

MINIMUM REQUIREMENTS
Typically, bachelor’s degree in HRM, Finance, Accounting. Equivalent combination of relevant education and experience may be substituted as appropriate.
Typically 3+ years of relevant and progressive experience in Human Resource Management/Finance/Accounting
Working in a busy environment an added advantage
Knowledge in computer packages; Word, Excel, PowerPoint
Strong organizational and self-motivated skills
Ability to work with minimum supervision, in a team structure, flexible, and can cope with short timeliness
Strong interpersonal skills
Ability to maintain confidentiality, tact and discretion when dealing with people
Experience in general office administration
Good communication, presentation and interpersonal skills
A self-starter, highly organized with ability to organize work of self and others effectively
Analytical and pays close attention to details
