Organizational Setting

To provide timely and efficient support in the implementation of all procurement and supply chain activities, including customs clearance process, warehousing, and distribution of commodities. Provide a variety of logistics and office related work for the WHO County Office Somalia.

Major Duties and Responsibilities

Under the overall guidance of the WHO Operations Officer (OO) in Somalia, and the direct supervision of Operations Support and Logistics Officer (OSL), the incumbent is accountable for supporting the supply chain management activities and needs including warehousing and distribution in Somalia.

Within the business operations support team, the incumbent will support the good warehousing practices, maintain inventory records using computerized inventory system, manage receipt of both dry and medical supplies and manage orders coming from technical staff. Specifically, the staff will:

  1. Conduct end of month inventory audits involving accurate counting, data entry and resolution of any discrepancies through the computerized inventory system
  2. Complete orders from technical and program teams following FEFO systems where expiring medicines are issued first.
  3. Arrange and supervise a crew of casual laborers for packing, unloading and loading of tracks. Supervise packing of kits and consolidation of supplies for distribution to states.
  4. Monitor quality and quantity of medical supplies, report any irregularities in relation to storage, receipt, dispatch and security of the warehouse.
  5. Liaise with contracted transporter for timely delivery of requests coming from technical teams.
  6. Ensure all stored materials are clearly marked with updated stock cards containing POs, references, balances, dates of issue/receipts.
  7. In coordination with the supervisors handle all administrative issues related to safety, cleanliness, and maintenance of the warehouse
  8. Update technical staff on stock levels at the warehouse for different items as required to inform the development of distribution plans.
  9. Carry out any other duties and projects as assigned

Qualifications

Educational background

Essential: Completion of secondary education supplemented by specific training in emergency information management, warehouse management and/ or logistics

Desirable: First level university degree in information managements, statistics or related field.

Professional experience and knowledge

Essential: At least three years of related experience in warehouse management, logistics, monitoring, and data analysis.
Desirable: Relevant work experience in WHO, other UN agencies; experience working in relevant non-governmental or humanitarian organizations.

SKILLS

Sound skills in the area of logistics management, warehousing, and statistics.. Good level of analytical skills. Knowledge of program management and functioning of WHO and the UN system is an asset.

Advanced use of MS Office, MS excel, particularly spreadsheets, data visualization, and databases.

Language Skills

Essential: Expert knowledge of English. Expert knowledge of Local language.
